This guidance is appropriate for any Best Practice Network employee/Associate who will be facilitating/co-facilitating any online events with us.
Initial set up
In order to be able to use zoom functionality with Best Practice Network, you will need to first have access to our CCMS System. If you are unsure if you have access, or you have forgotten your password please contact us via 0117 920 9200 (option 4 for helpdesk) or via our Support Form.
Finding your meeting
To locate any sessions you are facilitating, use the calendar, or the your events tab on the right hand side and click on the event you want to start/join.
You will then see the event page:
If you are the registered host of the session, please click start meeting (as a co-host, in the event your colleague cannot make it, you can also use this button). In normal circumstances as co-host, you will need to click join meeting (this will bring up a registration form) and input your details, you can then join the session and the host will provide you with the relevant permissions within the meeting.
You can also mark the register of attendance for the event below the event information, under the heading Attendance & Feedback, simply tick the boxes for those who have attended (you can also use the mark all as attended button).

Practice with Co-Facilitators: You can access your meetings in CCMS at anytime so if you have not used zoom before you can go into a meeting and practice.

Preparation & Setup Tips:
• Familiarisation with Zoom – practice prior
• Deliver from quiet environment – reduce background noise
• Use a set of Headphones (ideally with built in microphone) – to improve audio quality
Top Tips for a Quality Meeting:
- Encourage use of web cameras – this provides a more engaging session
- Welcome attendees from waiting list individually & check in with them for a verbal response to confirm you can hear them
- Direct questions to individual attendees by name
- Request all attendees personally mute themselves when not actively contributing to the discussion
- Finish the session on time
